Most check-in problems are really instruction problems. The lock works fine. The guest just could not tell which door, which code, or which way to turn the handle. Clear check-in instructions prevent the late-night "I am locked out" text and protect your reviews. Here is how to write them, with templates.

The 6 things every check-in message needs

  1. 1The exact address, with a landmark or "the blue door on the left".
  2. 2How to get in: lockbox location and code, smart-lock code, or key pickup.
  3. 3A fallback if the primary method fails (a second code, a hidden key, or your number).
  4. 4WiFi network name and password.
  5. 5One or two first-five-minutes notes: thermostat, lights, parking.
  6. 6A clear invitation to text if anything goes wrong.

Template: lockbox self check-in

Lockbox
Welcome, {first_name}! Check-in is any time after {checkin_time}. The lockbox is {lockbox_location}, code {lockbox_code}. Inside is the {unit} key. WiFi: {wifi_name} / {wifi_password}. If the lockbox ever sticks, text me and I will walk you through it. Enjoy your stay!

Template: smart-lock self check-in

Smart lock
Hi {first_name}, you are checked in! At the {door_description}, tap the keypad to wake it, enter {door_code}, then press the checkmark. The door unlocks for a few seconds, so turn the handle right away. WiFi: {wifi_name} / {wifi_password}. Any trouble, text me here.

Template: late or after-hours arrival

Late arrival
Hi {first_name}, no problem arriving late. The entry is fully self-service, so the time does not matter. {entry_instructions}. The porch light stays on. Text me when you are in so I know you arrived safely. Rest well!

Send the code at check-in time, not before

Sending the door code days early is a security risk and invites early arrivals. Send the pre-arrival note with the address and arrival window, then deliver the actual code at check-in time. Rezi does this split automatically.

Make the instructions impossible to lose

Guests scroll past messages. Reduce friction by repeating the essentials in three places: the Airbnb check-in instructions field, a pinned message at check-in, and a small printed card by the door. When a guest texts "what is the code again" at 11 PM, the fastest answer is an automated one that already knows.

What should Airbnb check-in instructions include?
The address, exactly how to get in (lockbox or smart-lock code and where it is), a fallback method, the WiFi details, and how to reach you. Keep it to a few short lines.
How do I handle late check-ins?
Use self check-in so arrival time does not matter, confirm the entry method, and ask the guest to text when they are in. A 24/7 assistant like Rezi can answer late-arrival questions even while you sleep.
Is it safe to message the door code?
It is fine if you send it at check-in time and rotate codes between stays. Avoid sending codes days in advance or leaving the same code for months.
